This policy explains what HeyTranscribe ("we", "us") collects when you use heytranscribe.app, why we collect it, and the choices you have. We wrote it in plain language on purpose.

The short version: Your uploaded media is transcribed in memory and never stored on our servers. Your transcripts stay in your dashboard until you delete them. We never use your media to train AI models, and we never sell your data.

1. Information we collect

Category	What it includes
Account data	Your email address, and - if you sign in with Google - your name and profile image from Google OAuth.
Uploaded media	The audio and video files you submit for transcription.
Transcription output	The transcripts and subtitle files (SRT, VTT, TXT) we generate for you.
Usage data	Minutes transcribed, job history, and basic technical logs (browser type, timestamps, error diagnostics).
Cookies	Essential cookies for sign-in and session security. We do not use advertising cookies.

2. How we use your information

To transcribe your files and deliver your subtitles and transcripts.
To create and secure your account and enforce free-plan limits.
To provide your dashboard history and let you re-download or delete files.
To communicate with you about your account and service updates.
To detect abuse, debug problems, and keep the service reliable.

We do not use your uploaded media or transcripts to train machine-learning models, and we do not sell your personal data.

3. Service providers

We share data with a small set of processors purely to run the service. Each acts on our instructions:

Supabase - authentication, database, and file storage.
Groq - speech-to-text processing of your audio.
Vercel - website and application hosting.
Resend - transactional and account emails.
Stripe - payment processing (only if and when you subscribe to a paid plan).

4. Data retention

Media files are never stored - they are processed in memory during transcription and discarded as soon as it completes.
Transcripts and subtitle files remain in your dashboard until you delete them or close your account.
Account data is kept while your account is active; deleting your account removes it, subject to any records we must retain by law.

5. How we protect your data

Data is encrypted in transit (TLS). Access to production systems is limited to what's needed to operate the service. No method of transmission or storage is 100% secure, but we work to protect your information using reasonable, industry-standard safeguards.

6. Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to certain processing. You can delete files and transcripts yourself from your dashboard, or email help@heytranscribe.appand we'll help.

7. Children

HeyTranscribe is not directed to children under 13 and we do not knowingly collect their data. If you believe a child has provided us information, contact us and we will delete it.

8. International users

We may process and store data in countries other than yours, including the United States. Where required, we rely on appropriate safeguards for these transfers.

9. Changes to this policy

We may update this policy as the product evolves. We'll revise the "last updated" date above and, for material changes, notify you by email or an in-app notice.
